California Tax Account: MyFTB, CDTFA, and Payment Plans

A California tax account is a free online profile with the state’s tax agencies that lets you file returns, pay balances, view notices, and manage your information. For personal income tax, you register with the Franchise Tax Board through its MyFTB portal. If your business sells or leases goods in the state, you also need a separate account with the California Department of Tax and Fee Administration (CDTFA) for your seller’s permit. Many small business owners end up with both.

Which Portal You Actually Need

The Franchise Tax Board handles personal income tax and corporate franchise tax. MyFTB is where residents file returns, check balances, pay, and message the agency.1California Franchise Tax Board. MyFTB Features If you owe California income tax, that is your portal.

The CDTFA runs sales and use tax along with special taxes on items like fuel, tobacco, and cannabis.2California Department of Tax and Fee Administration. California Department of Tax and Fee Administration Sellers and lessors of tangible goods register through CDTFA for a seller’s permit and manage that permit through a CDTFA online account, which is separate from MyFTB.

Registering for MyFTB as an Individual

You need three things to register: your Social Security Number, your current mailing address as it appears in FTB records, and details from a California return you filed within the last five years.3California Franchise Tax Board. Moved recently? Call the FTB at 800-852-5711 to update your address before you register. The system checks the address you enter against what it has on file, and a mismatch will stop you.4California Franchise Tax Board. Individual – Register for MyFTB Account If you have never filed a California return, standard online registration won’t work because there is no prior return data to verify you against. In that situation, contact the FTB directly.

After you submit the online form, the FTB mails a Personal Identification Number (PIN) to the address on file. It arrives within 5 to 7 business days.5California Franchise Tax Board. Registering as a Business Representative

Business representatives register separately from individuals and need the entity’s identifying number. Which number depends on the entity type:6California Franchise Tax Board. Identification Number

  • Corporation: 7-digit California Corporation ID number.
  • LLC: 9-digit or 12-digit Secretary of State ID number.
  • Partnership: 9-digit Federal Employer Identification Number, FTB-issued ID, or Secretary of State ID number.

The business’s current address must also be on file with the FTB before registration completes.3California Franchise Tax Board. Registering With the CDTFA for a Seller’s Permit

If your business sells or leases tangible goods in California, you must obtain a seller’s permit through the CDTFA. Registration is free and done online, and the system asks questions to determine which permits your business needs.7California Department of Tax and Fee Administration. The permit itself has no fee, but the CDTFA may require a security deposit to cover potential unpaid taxes if the business later closes. Obtaining a Sellers Permit Short-term sellers such as holiday vendors can apply for a temporary permit for operations lasting 90 days or less at one location.

What You Can Do Once You’re Logged In

MyFTB works as a dashboard for your California income tax activity. You can see your current balance, tax year details, and a full history of payments to the FTB.1California Franchise Tax Board. MyFTB Features The portal also stores images of your filed returns and copies of any notices the FTB has sent you, so a letter lost in the mail doesn’t turn into a missed deadline.

You can manage who has access to your tax information. Filing or revoking a Power of Attorney happens in the portal, and you can see which tax professionals are currently authorized.1California Franchise Tax Board. For business accounts, the primary representative controls which other users can view the business’s information.

Paying and Filing Through the Account

The FTB’s Web Pay service takes payments from a checking or savings account at no cost.8California Franchise Tax Board. Pay by Bank Account (Web Pay) You can schedule payments up to one year ahead, which is useful for estimated tax installments.9California Franchise Tax Board. 2025 Instructions for Form 540-ES Estimated Tax for Individuals Paying through your MyFTB account also lets you view scheduled payments and cancel one before it processes.

Credit card payments go through a third-party processor that charges a 2.3% service fee.10California Franchise Tax Board. Pay by Credit Card On a $5,000 balance, that adds $115. Web Pay is usually the cheaper choice.

For filing, CalFile is California’s free e-file tool, built into MyFTB. You need a MyFTB account to use it, and income and filing-status limits apply, so not everyone qualifies.11California Franchise Tax Board. CalFile If you use commercial tax software instead, MyFTB is still where you confirm the FTB received your return.

Setting Up a Payment Plan

If you owe more than you can pay, you can apply for an installment agreement. Terms depend on whether the account is personal or business:12California Franchise Tax Board. Payment Plans – Installment Agreement

  • Individuals: balance up to $25,000, repayment within 60 months, all returns filed for the past five years, and a $34 setup fee added to the balance.
  • Businesses: same $25,000 cap, 12-month repayment window, and a $50 setup fee.

A tax lien may be filed against your assets as a condition of the agreement. You can’t apply online if you already have an active installment agreement, a wage garnishment, or a bank levy; in those situations you contact the FTB by phone or mail.12California Franchise Tax Board. Estimated Tax Payments and California’s Uneven Schedule

If you are self-employed or have significant income without withholding, California requires quarterly estimated payments. The installments do not split evenly. The April 15 payment covers 30% of your annual estimated tax, June 15 covers 40%, the third quarter has no payment, and January 15 of the following year covers the last 30%.9California Franchise Tax Board. 2025 Instructions for Form 540-ES Estimated Tax for Individuals That 30/40/0/30 pattern surprises anyone used to the IRS’s even quarters. Taxpayers with California adjusted gross income of $1,000,000 or more, or $500,000 if married filing separately, must base estimates on the current year’s actual tax liability rather than the prior year’s.9California Franchise Tax Board. 2025 Instructions for Form 540-ES Estimated Tax for Individuals Underpaying or missing a deadline triggers a penalty on the underpaid portion, and payments that should be electronic but are sent by other means carry an added 1% noncompliance penalty.

Penalties and Interest You May See on the Account

MyFTB shows penalties and interest the FTB has assessed on your balance. The two most common charges:

Interest also accrues on any unpaid balance. From July 1, 2025 through June 30, 2026, the personal income tax underpayment rate is 7%, and it resets every six months.14California Franchise Tax Board. Interest and Estimate Penalty Rates Interest compounds on top of penalties, so a small balance can grow quickly if ignored. A payment plan does not stop interest, but it does keep the FTB from moving to wage garnishments or bank levies.

Keeping Your Account Secure

MyFTB requires multi-factor authentication at every login. After your username and password, a verification code comes by text or voice call to a phone number registered to the account. Losing access to the phone number tied to the account is the most common lockout, and it’s avoidable: register a second number as a backup. Do not use your Social Security Number, ITIN, or entity ID as your username.5California Franchise Tax Board. If You’re a Nonresident

California has one of the broadest nonresident filing rules in the country. Earning income from California sources, even from a single day of work in the state, can create a filing obligation, and whether you owe tax depends on your total income and filing status. A single nonresident under 65 with no dependents must file if total gross income exceeds $22,941 for the 2025 tax year.17California Franchise Tax Board.
