Can You Replace a NYS Security Guard License Online?

You cannot fully replace a NYS security guard license online. New York’s Department of State handles duplicate security guard registration cards by mail only, using a paper Duplicate License/Registration Request form. The online piece of the process is limited to downloading the form and looking up the UID number you’ll need to complete it.

What Part of the Process Is Online

The Department of State runs an online update system for a short list of professions: Real Estate, Notary Public, and Appearance Enhancement. Everything else, security guard registrations included, is handled by mail.1New York State. Two things you can still do from your computer:

  • Download the Duplicate License/Registration Request form from the DOS website.
  • Search the DOS index of licensees and registrants to find your UID number if you don’t have it on hand.3New York State Department of State. Duplicate License/Registration Request

The UID is the registration number the Division of Licensing Services assigned when your registration was first approved, and the duplicate form requires it. If the number on your old card doesn’t match what you’re expecting, confirm it through the online search before mailing anything.

Filling Out the Duplicate Request

File a separate form for each registration you need replaced. The form asks you to select your license or registration type, enter your UID, and list the current mailing address where you want the replacement sent.

One important boundary: the duplicate form is only for replacing a card. If your name or address has changed, use the Change Notice form (DOS-1473) instead.3New York State Department of State. Duplicate License/Registration Request

Fee and Payment

The fee is printed on the form itself and varies by registration type. You can pay by check or money order made out to the NYS Department of State, or charge a Mastercard or Visa by attaching a completed Credit Card Authorization form (DOS-1450). Don’t send cash. How Long It Takes

DOS does not publish a turnaround time for duplicate cards. Processing depends on mail delivery, internal review, and card production. Keep a copy of the completed form and any payment record. If a reasonable stretch of time passes with no card, contact the Division of Licensing Services using the contact information on the DOS website to check on your request.

Duplicate or Renewal — Pick the Right One

A duplicate replaces a card while the underlying registration is still active. Renewal is a separate process for a registration that is nearing or past expiration. Security guard registrations run for two years, and DOS mails renewal forms about 90 days before expiration; you become eligible to renew inside that window.4Department of State. If your card is missing and also close to expiring, renewal is usually the better move because it produces a new card with a fresh two-year term. Requesting a duplicate of a card that expires in a few weeks just means you’ll be doing paperwork again shortly.

Don’t Work Without a Valid Card

Under New York’s Security Guard Act, working as a security guard without a valid registration is a misdemeanor, and each separate violation counts as its own offense.5New York State Senate. If there is any doubt about your status while you wait for a replacement, confirm with your employer and the Division of Licensing Services before working a shift.
